Reporting lines: Project Manager / Construction Manager

Qualification and Education

Degree in Commerce, Office or Building Management, Economics, or equivalent education

Skills and experience

• 5 to 10 years of proven accounting experience in ID or fit out on Site Construction.

• Proficient Excel utilizing, pivot tables, pre-formatted tables, and complex formulas

• Strong typing ability and IT literacy.

• Excellent verbal, listening, and written communication skills in English, with perfect spelling, punctuations

• Ability to handle sensitive, confidential information.

• Ability to communicate openly and positively with all colleagues and partners at all time

• Strong work ethic, with creative and innovative attitude toward complex problems

• Ability to research and document new solutions

• Detail oriented, highly self-motivated, positive team-player attitude, and ability to work with minimal supervision with a willingness to take initiative

• Must be able to manage multiples tasks and changing priorities in a quick-paced environment

• Interested and aware of international working team

• Health and safety procedures and legislation wise

Job Description

The Site Administrative Specialist:

• Provide full administrative support to Project Director and Construction Manager, with project-related daily duties on Site

• Independently identify and respond to daily issues that arise in the Site

• Develop understanding of routine aspects of the business and reply to inquiries not requiring supervisor’s direct attention

• Completes expense reports, maintains schedules, plans events and coordinates meetings

• Creates presentations using graphics and clear writing and other office activities photocopying, typing meeting notes ensuring the accuracy of format

• Develops and standardizes the site administrative tasks in line with IFO standards and procedures

• Work cross-functionally with and support our internal departments by providing administrative data for project programs

• Assist in weekly and monthly project reporting updates.

• Develop and maintain positive relations with the site, project and management team

• Assist with the enforcement of IFO policies and procedures and adhering to local regulations during the execution and the completion of the project

• Purchase material for events, office supplies, medical supplies

• Manage multiple projects and meet deadlines in a fast-paced environment.

• Prepare ad hoc reporting as required.

• Makes travel arrangements in collaboration with Head Office

Location: Vietnam – HCMC / Hanoi
