Job Summary

As a member of OneSky’s Global Operations Team, the Global Operations Manager (GOM) is primarily responsible for supporting the day-to-day operations of OneSky’s programs in Hong Kong, Vietnam, and Mongolia, as well as providing operational support to the organization. S/he will report to the Head of Global Operations (HGO) and work closely with the Director of Global Administration and Human Resources to ensure all operational deliverables align with OneSky’s goals and strategic plans. In addition, s/he will have an opportunity to collaborate with staff across the organization (Technology, Finance, Development, etc.) and external stakeholders (vendors, government, other NGOs, etc.).

REPORTS TO: Head of Global Operations (HGO)

LOCATION: Hong Kong. May be required to travel to program locations in Asia.

Job Responsibilities

Global/Program Operations & Coordination

  • Provide general day-to-day operational support to the POM (Programs, Operations, and MEL) and country teams
  • Create and manage end-to-end project plans with minimal supervision, ensuring that projects are delivered on-time, -target, and -budget
  • Design and implement sustainable and scalable operational processes that support OneSky’s growth at both the organization and country levels
  • Assess, coordinate, and triage issues to the POM Team, Global Tech, and/or other OneSky teams for further action as needed
  • Schedule cross-functional team meetings, track and distribute meeting minutes, and perform other duties and ad hoc projects as requested by the HGO

Administration & Risk Management

  • Develop, refine, and implement standard operating procedures (SOPs), workplace policies, and procedures that are consistent, up-to-date, and align with OneSky’s vision, mission, and values
  • Monitor all activities associated with program operations to ensure they’re in compliance with internal policies and external regulations
  • Work with Global Operations and Global Finance to conduct ongoing risk assessments and to maintain OneSky’s global asset and risk registries
  • Coordinate with the HGO and DAHR to collect information internally for audit purposes, fundraising proposals, impact reports, and publications

IT & Technical Support

  • Provide basic IT and help desk support to staff, with the support of the CTO
  • Evaluate, document, and troubleshoot software and hardware issues in a timely manner, including procuring, installing, and replacing services and devices (CCTVs, antivirus software, A/V equipment, etc.) as needed
  • Set up new workstations and train new staff on how to use existing and new technology products (electronic tablets, iEvent, Zoom, etc.)
  • Work with our Global IT team to research, test, and recommend IT solutions with new and existing vendors to ensure all projects are efficiently outsourced from the perspectives of cost, quality, and capacity

Preferred Qualifications

  • Bachelor’s degree, preferably in Nonprofit/Operations Management, Business Administration, Information Technology or Management Information System
  • Working knowledge of basic IT systems and troubleshooting
  • Strong interpersonal and project management skills with experience in planning, scaling, influencing and collaborating in cross-functional teams
  • Extremely detail-oriented with excellent analytical and organizational skills
  • Outstanding cross-cultural communication skills, both written and verbal
  • Well-developed problem-solving skills and ability to work with different teams and independently to resolve issues
  • Prior experience or interest in working for an international NGO or in a “start-up” environment is a plus
  • Fluent working with Google Workspace and Microsoft Office products
  • Knowledge of Early Childhood Education is a plus

Fluent in written and spoken English. Working knowledge of another Asian language (Chinese Cantonese, Chinese Mandarin, Vietnamese, and Mongolian) is a plus
